Committee Officer - Centre for Governance Function Support

Duties

Providing professional and effective service to the SU Council, Senate, Institutional Forum and their committees;

Information management (dissemination information and resolutions in a suitable and timely way and record-keeping);

Committee administration and facilitation, including drawing up agendas and document bundles for meetings, keeping to strict timelines, logistical arrangements regarding meetings (e.g., scheduling), effective running of the meetings, advising on procedures and other governance aspects, taking minutes and writing reports, communicating resolutions, ensuring that the action list after the meeting has been executed timeously, and archiving;

Performing administrative tasks within the CGFS.

Requirements       


 

A relevant qualification at NQF level 6 or higher;

At least three years' experience in a committee/secretariat role;

Experience and proven skills in organisation and/or administration, and writing  minutes and reports and correspondence with internal and external stakeholders;

The ability to maintain high standards of confidentiality;

Computer literate (word processing, text writing and editing, proficiency regarding SharePoint, Adobe Acrobat and virtual meeting platforms such as MS Teams) and other related technologies or software;

Highly articulated and advanced writing abilities;

Excellent interpersonal relations and the ability to communicate with ease on all levels;

Good communication ability in English;

High-level organisational, time management and planning skills;

Precise attention to the finest detail;

The ability to maintain high levels of concentration for long periods of time;

Professionalism, tact and integrity;

Availability to perform committee work after official work hours.
