Job Description

  • The Strategy Assistant specializing in Document Collation and Monitoring plays a crucial role in supporting the strategic initiatives of the organization by ensuring efficient and effective management of documents.
  • This role involves collating, organizing, and monitoring various documents to facilitate decision-making processes and strategic planning.

Key Responsibilities
Document Collation:

  • Gather documents from various sources, including internal departments, external partners, and industry reports.
  • Ensure the completeness and accuracy of collected documents.
  • Organize documents in accordance with established guidelines and procedures.

Document Monitoring:

  • Develop and implement systems for monitoring document usage, access, and updates.
  • Regularly review and update document repositories to ensure relevance and currency of information.
  • Track document versions and maintain version control to prevent duplication and confusion.

Data Analysis:

  • Assist in analyzing data and information gathered from documents to identify trends, patterns, and insights relevant to strategic decision-making.
  • Prepare reports and summaries based on document analysis to support strategic planning processes.

Collaboration and Communication:

  • Collaborate with cross-functional teams to gather required documents and information for strategic projects and initiatives.
  • Communicate effectively with team members and stakeholders regarding document requirements, updates, and deadlines.

Compliance and Quality Assurance:

  • Ensure compliance with organizational policies, industry standards, and regulatory requirements related to document management.
  • Conduct regular quality checks to ensure the accuracy, integrity, and security of documents.

Continuous Improvement:

  • Identify opportunities for process improvement in document collation, monitoring, and management.
  • Recommend and implement enhancements to streamline workflows and increase efficiency.

Qualifications

  • Bachelor's Degree in Business Administration, or a related field.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent attention to detail and accuracy in document collation and monitoring.
  • Proficiency in document management software and tools.
  • Analytical mindset with the ability to derive insights from data and information.
  • Effective communication and interpersonal skills.
  • Ability to work both independently and collaboratively in a team environment.
  • Familiarity with industry regulations and compliance requirements related to document management is a plus.
  • Proficiency in MS Office.
